REFUND POLICY

Thank you for supporting Ventura Football Network (“VFN,” “we,” “our,” or “us”).
As a nonprofit organization, we strive to keep all programs accessible, affordable, and community-focused.
This Refund Policy explains how refunds are handled for donations, programs, events, tournaments, merchandise, and media services.

1. Donations

All donations made to Ventura Football Network are final and nonrefundable.
As a 501(c)(3) nonprofit, your contributions directly support community programs, scholarships, and free events.

2. Showcase Registrations

Most VFN showcases are free for athletes.
If a showcase requires a registration fee or reservation deposit, the following applies:

  • Refunds are only issued if VFN cancels the event.

  • If the participant cancels, no refund is provided due to limited roster spots.

3. Tournaments & Events

Paid tournaments (5v5, 7v7, indoor, futsal, community events):

Refunds are available only if:

  • VFN cancels the event, or

  • There is a scheduling conflict caused by VFN.

Refunds are NOT available if:

  • A team withdraws after registering

  • A team forfeits games

  • A participant cannot attend

  • Weather issues or facility closures occur (see Weather Policy below)

4. Weather & Field Conditions (Weather Policy)

Outdoor soccer events may be affected by:

  • Rain

  • High winds

  • Poor field conditions

  • Field/facility closures

If VFN cancels due to weather:

We may offer one of the following:

  • Rescheduled date

  • Event credit

  • Partial refund (case-by-case)

If the event continues as scheduled:

No refunds are issued.

5. Media Services (Photo/Video/Hudl)

For media bookings (team photos, highlights, Hudl filming):

Refunds are available only if:

  • VFN is unable to deliver the service due to equipment or staffing issues.

Refunds are NOT available if:

  • You cancel the booking after work has begun

  • You fail to show up for a scheduled session

  • Weather or cancellations affect an outdoor shoot
    (We will attempt to reschedule)

6. Merchandise (Through Shopify or Events)

VFN merchandise follows a no refunds, no returns policy except for defective items.

Refunds are issued only if:

  • The item arrives damaged

  • The wrong item is shipped

  • There is a manufacturing defect

To request a replacement, email a photo and order number to:

We do NOT provide refunds for:

  • Wrong size

  • Change of mind

  • Wear and tear

  • Lost packages due to incorrect addresses provided at checkout

7. Program Fees (City Partnerships, Indoor Soccer, Youth Programs)

For paid youth programs or indoor soccer sessions hosted with partner cities or schools:

  • Refunds follow the policy of the hosting organization (City of Ventura, VUSD, etc.)

  • VFN defers to city/school rules

  • If VFN runs the payment system directly, refunds are only issued if VFN cancels the program

8. SBVFC Tryouts

Tryout fees (if applicable) are nonrefundable.
This covers field rental, staff, and operations.

9. Errors & Duplicate Charges

If an accidental duplicate payment occurs, contact us immediately at:

We will issue a refund for the duplicate charge.

10. How to Request a Refund

Include:

  • Your name

  • Program/event

  • Date

  • Receipt or transaction number

  • Explanation of request

Refund processing typically takes 5–10 business days.

11. Policy Changes

VFN may update this Refund Policy at any time.
Updates will be posted on this page with a revised “Last Updated” date.
